Job Description:
Our local authority client based in East London are urgently seeking an experienced Business Support Officer.
*MUST HAVE A STRONG PA BACKGROUND, MUST BE ABLE TO WORK IN THE OFFICE A MINIMUM OF THREE DAYS PER WEEK*
Job Summary: Provide comprehensive administrative and secretarial support services to Directors, with occasional cover for the Senior Executive Support Officer. Utilize ICT systems to enhance the team’s efficiency and assist in training staff for effective IT system usage. Continuously improve administrative processes and contribute to the development of Executive Support services.
Key Responsibilities:
* Deliver effective secretarial and administrative support to Directors.
* Cover duties of the Senior Executive Support Officer when required.
* Utilize and train team members on ICT systems to optimize performance.
* Develop and enhance administrative processes and Executive Support services.
* Compile, collate, and distribute management data for regular and ad-hoc reporting on client services.
* Manage Directors’ telephone calls, correspondence, and emails, using judgment to prioritize and redirect as necessary.
* Handle routine correspondence and draft communications on behalf of divisional leadership teams.
* Manage and coordinate the Directors’ diaries, ensuring meeting support aligns with the Service Catalogue and agreed service levels.
* Coordinate briefings and information flow for key stakeholders, including the Mayor, Lead Members, Councillors, and others.
* Provide early warnings to Directors of any potential delays in scheduled timelines.
* Maintain comprehensive secretarial, administrative, and financial systems in compliance with council policies.
* Support project work and ad hoc tasks as directed by the Executive Support Team Leader.
* Be flexible in supporting the Borough Emergency Control Centre with loggist activities during civil contingencies.
* Adapt to changes in legislation and regulatory requirements, maintaining service levels.
* Ensure full compliance with GDPR policies for data processing.
Qualifications and Skills:
* Proven experience in administrative and secretarial roles.
* Proficiency in using ICT systems and training others.
* Strong organizational skills with the ability to manage multiple tasks and deadlines.
* Excellent written and verbal communication skills.
* Discretion and judgment in handling sensitive information.
* Ability to work collaboratively with internal and external stakeholders.
* Knowledge of GDPR and data protection policies.
* Flexibility to support emergency control activities as needed.
