Job Description:
Temp (3-4 months) to Perm Executive Assistant/ Private PA to Director/ CEO.
Are you a highly organised and proactive individual with a passion for the financial investment industry? We’re working with a dynamic global resource investment company with offices in London and Australia who are seeking a dedicated Executive Assistant/ Private PA to join this companies London office supporting the CEO and Board Directors. This role is to start ASAP.
About The Company: This business is an expanding global resource investment firm, navigating new challenges in a fast-paced environment. The CEO also manages a venture capital firm specializing in private equities within the resource sector that support clients listed on the London (AIM) and Australia (ASX) stock exchanges, offering comprehensive administrative services.
Your Role: As the Executive Assistant/ Private PA to Director/CEO, you will work closely with a successful Director and the CEO, managing various projects in investor relations (PR, communications, marketing), as well as personal matters for the CEO. This role is ideal for a confident, multi-tasking professional with exceptional organizational skills and an interest in financial investments. You will additionally assist with Ad-hoc Office Management support (meeting room set up etc.)
This will be a very independent role. With the majority of the business working from the Australian offices you will be at times the sole employee in the UK alongside the Director/ CEO.
Office/ Flexibility: This companies office is based in Mayfair. You will be required to work in the office when requested by the Director/CEO, assume this role will working in the office 5 days per week and attending meetings in person alongside the Director/CEO.
As this role progresses WFH flexibility will be on offer however as this is a 1:1 support role with hands on support and requires meeting attendance in person on a regular basis if you are looking for a role with regular WFH days this may not be the right position for you. We’re looking for someone who is happy to work in the office/attend in person meetings 99% of the time.
Key Responsibilities:
* Administrative Support: Efficiently organize meetings, travel arrangements, manage diaries, handle invoicing, and ensure compliance with legal requirements. Transition document management to a cloud-based system and screen calls effectively.
* Relationship Management: Build and maintain strong relationships with external contacts, coordinate events and meetings, and act as the point of contact for PR and technical teams.
* Project Management: Maintain project action lists, manage investor relations projects, prepare documents and presentations, manage website content and social media presence, and conduct market research.
What We’re Looking For:
* Strong experience wokring within an EA/PA role supporting at an executive level!
* To be successful in this role, you will need to be able to “wear many hats”!
* Background in finance, legal, and/or investment would be a significant benefit.
* Exceptional organizational skills with attention to detail.
* Strong problem-solving abilities and a proactive approach.
* Excellent communication skills, both verbal and written.
* Ability to work under pressure and independently.
* Proficiency in MS Office Suite (Excel, Outlook, PowerPoint, Word).
* Positive, can-do attitude and strong work ethic.
* Interest in the financial corporate world/resource sector is desirable.
* Experience with website hosting (WordPress), content copywriting, social media platforms (Twitter, LinkedIn), and Google Analytics is a plus.
* Ability to work within a small team and independently.
