Job Description:
This position will provide support to the manager, in all aspects of administration support to achieve the division’s aims and objectives, as well as ensuring compliance with business procedures and engaging with internal and external clients
Client Details
Our client is a well established business based in Kings Hill, seeking an experienced administrator to join their team on a temp-perm team.
Description
* General administrative duties.
* To receive enquiries, pass information on appropriately and ensure that support is provided along with an excellent standard of Customer Service (internally and externally).
* Monitor and manage multiple inboxes, responding to customer enquiries in a timely and professional manner.
* Timely and effective processing of purchase orders, ensuring accuracy of records and best value is achieved through a managed supply chain. Ensure that all purchase records/orders/reports and related data for management accounting purposes are maintained.
* Ensuring that all quotations are produced in a professional and timely manner and records are updated.
* Providing sales support, contacting customers confirming their quotation requirements were met along with resolving any queries they may have.
* Lead with the onboarding process for new customers, creating customer accounts and agreements.
* Update and maintain CRM system.
* Provide support as required in the processing of insurance claims, reports.
* As directed produce invoices, ensuring all activity is recorded in the appropriate database.
* Ensuring that operational records and documents are stored and used effectively, specifically with reference to: Health and Safety, Machinery and Equipment, Vehicles and Contracts.
* Contract support/reporting; daily/weekly/monthly to meet customer requirements.
* Updating all relevant business systems, including scheduling of PPM work and schedule amendments.
* To offer effective cover and support to other team members, ensuring business continuity.
Profile
A successful Service Advisor should have:
* Computer literate with a good working knowledge of Microsoft Office including Outlook, Excel, Word and PowerPoint.
* Strong administration experience (previous experience of contract administration / purchase ledger beneficial)
* Experienced in providing outstanding customers service
* Able to start immediately.
