Key Responsibilities: * Diary Management: Efficiently manage complex diaries, schedule meetings, and coordinate appointments for senior executives.
* Travel Coordination: Organise domestic and international travel arrangements, including booking flights, accommodation, and preparing itineraries.
* Communication: Handle incoming communications, including phone calls, emails, and correspondence, ensuring timely responses and appropriate follow-up.
* Meeting Support: Prepare meeting agendas, take minutes, and distribute relevant documents. Ensure all meeting logistics are arranged and equipment is set up.
* Document Management: Draft, proofread, and edit reports, presentations, and other documents as required. Maintain organised filing systems.
* Project Assistance: Assist in various projects, providing administrative support and coordinating activities to meet project deadlines.
* Expense Management: Process and track expense reports, ensuring timely submission and adherence to company policies.
* Confidentiality: Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
* Ad Hoc Tasks: Perform other administrative duties as required to support the executive team and business operations.
Profile
The Successful candidate:
* Experience: Minimum of 3-5 years’ experience as an Executive Assistant, preferably within the insurance or financial services industry.
* Skills: * Exceptional organisational and time-management skills.
* Strong written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to work independently and handle multiple tasks simultaneously.
* High level of attention to detail and accuracy.
* Professional demeanour and ability to interact effectively with senior executives and stakeholders.
