Job Description:
This is a fantastic opportunity to help support the Senior Partner at this prestigious firm as the Personal Assistant.
The Executive Assistant to Senior Partner will be a self-motivated and ’switched on’ individual, with some previous professional experience.
You must be able to take responsibility and work on your own initiative as well as have a flexible approach.
Experience in the investment, legal or finance sector will also be helpful as would the ability to manage some day-to-day office management. You will have strong attention to detail, an ability to multi-task and the capacity to quickly grasp complex issues are essential.

Specific Tasks / Responsibilities
*Supporting the Senior Partner with business development and outreach activities such as events, dinners, sponsorship arrangements as well as individual outreach
*Preparing for and following up with business development meetings, prospective client meetings and internal meetings (for example, logistics, research, background information, presentations, meetings notes, follow-ups, proposals inter alia)
*Updating the Senior Partner’s contact database, particularly in relation to prospective clients, professional connections and business introducers
*Assisting in administering events (for example, setting up webinars, labels, invitations, letter/ e-mails of confirmation, refreshments, inter alia)
*Researching external networking events and sponsorship opportunities that present a chance for the firm to be in front of prospective clients
*Organising and liaising with venues and guests for both LWP internal and external events (for example, Spring Dinners, Charity Gala’s inter alia)
*Working closely with client teams, technical focus group and investment committee to build and schedule the communications content calendar (material that LWP provides to clients and / or prospects via email)
*Maintaining and updating the Senior Partner’s diary, including booking meetings and lunches
*Monitoring the Senior Partner’s emails (coordinating incoming e-mails, drafting responses, ensuring all emails have been dealt with)
*Screening phone calls, enquiries and requests and handling them, as appropriate
*Making travel arrangements / booking accommodation
*Ensuring filing is up to date, including Senior Partner’s expenses and CPD records
*In the absence of the office manager to assist and support in (i) setting up and coordinating all Zoom meetings for the firm; (ii) ordering office stationery and kitchen supplies; (iii) collecting and distributing post throughout the office and arranging meetings and (iv) booking meeting rooms, providing refreshments and setting up and clearing away, as appropriate
*Close working relationship with the operations team to maintain the client and prospect database to report accurately on prospecting and client activity
*Maintaining the website to ensure that it remains up to date (people and literature)
*Re-formatting of briefing notes and literature to ensure it is in-line with London Wall Partner’s house style, while working with the compliance team to ensure adherence to FCA regulations
*Monthly reporting of activities on business development and marketing
*Supporting staff requests and completing additional tasks and projects as required
