Job Description:
Project Support Coordinators *Job Type: Full-time
*Location: Requires travel to various shipyards and vessels worldwide
*Salary: Competitive
We are seeking a Project Support Assistant to join our Projects team, providing essential support for marine interior outfitting projects. This role involves a variety of tasks from project setup to close down, including purchasing, resource and travel booking, logistics, shipping, warehouse operations, and general administrative tasks. The position requires significant onsite work in shipyards and vessels globally, supporting Project Managers and teams to complete large and complex projects.
Day to Day of the Role: *Source materials and raise purchase orders accurately, ensuring timely delivery and communication with stakeholders.
*Update system products and processes with correct pricing, documentation, and data input.
*Book labour, travel, and accommodation for projects and the wider business, including liaising with European resources and companies.
*Coordinate onsite labour to support project management team operations, including arranging flights, transfers, and accommodation.
*Provide general support and administrative tasks during pre-planning, site implementation, and project close down.
*Contribute to project and department progress meetings.
*Plan and generate project shipments, including commercial invoices, vehicle planning, material reports, and data input.
*Provide cover for the wider Project Support team during absences and peak business periods.
*Perform additional support and administrative tasks as directed by the line manager or designee.
Required Skills & Qualifications: *Fluent in English, with a strong desire for Polish language skills.
*Proficient in IT systems, including Microsoft Office & Outlook, and video conferencing tools like Teams/Zoom.
*Willingness to continuously learn and improve.
*Strong planning, time management, and prioritisation skills.
*Ability to work under pressure during peak times.
*Capable of building relationships at all levels within the organisation and with external contacts.
Minimum Education & Experience: *1 year of experience in an office environment.
*Availability to work away from home for over 30% of the year.
*Experience in a site or construction site environment is ideal but not essential.
