Facilities Administrator needed in Bristol Paying £12.52 per hr Ref 438727
Full time time on a temporary basis
Role Purpose: Provide comprehensive administrative support to maintain site operations and ensure compliance with statutory and health and safety standards.
Key Responsibilities:
* Maintain the site computerised management CAFM system, ensuring 100% compliance with Statutory SFG20 and KPI’s.

* Communicate with suppliers via email and telephone, utilising Microsoft Office programs (Word, Excel, PowerPoint, Outlook).

* Manage diary entries, create and update data on Excel spreadsheets, and participate in Teams meetings.

* Open, log, acquire authorisation, update tasks with required documentation, and track them to completion.

* Control site security and visitor/contractor access as the first point of contact.

* Ensure the site’s visual standards and address any issues or concerns.

* Conduct daily self-assessment site walk-about checks and log/action findings.

* Ensure safety protocols for visitors and contractors.

* Liaise with site management and key stakeholders to communicate issues, prioritise actions, and minimise downtime on PPM’s and reactive maintenance.

* Prepare and process paperwork for Engineers/Operatives to undertake PPM’s and reactive works.

* Ensure contractors operate within SHE processes and client HSE standards.

* Implement reactive events such as fire alarm activation, power outages, and emergency maintenance callouts.

* Uphold premises Health and Safety and COSHH compliance aspects.

* Execute general repairs and maintenance duties as required.

* Provide porterage and logistical support services (e.g., stationery ordering, mail distribution, furniture re-organisation).

* Undertake statutory inspections and general monitoring of services, including CCTV, fire & lift alarm tests, security systems, and recording water temperatures.

* Act as part of the site Emergency Team (e.g., Fire Marshall, First Aid).

* Report all incidents, occupational illnesses, and emergencies in relevant documentation.

* Perform general maintenance tasks (e.g., sweeping, cleaning, waste management, stocking tea stations, winter gritting).

* Undertake site infrastructure maintenance and repairs.

* Perform other defined activities and responsibilities as required.

* Undertake mandatory training courses.
