Job Description:
SF Recruitment are working with a rapidly growing business, who are looking to recruit an Executive Assistant to support their Managing Director & CFO. The role is permanent, and will be based at their UK head office in Sutton Coldfield.
Salary: up to £45k
Working pattern: site based
The Executive Assistant will provide high-level administrative support to the MD and CFO, ensuring the smooth and efficient operation of their day-to-day activities. The ideal candidate will be a proactive problem-solver with exceptional communication and organisational skills, able to manage multiple priorities and work effectively across diverse teams and international time zones.
Responsibilities will include:
- Executive Support:
o Provide comprehensive administrative support to the MD and CFO, including calendar management, travel arrangements, meeting coordination, and correspondence.
o Anticipate the needs of both the MD and CFO, ensuring they have the necessary information and materials to make decisions.
o Prepare and edit presentations, reports, and documents for meetings, as well as assist in strategic planning and project management tasks.
o Organise and prioritise incoming communications (emails, calls, etc.) and respond or redirect as necessary.
- Meeting & Event Coordination:
o Manage and schedule high-level meetings, both internal and external, and ensure all logistics are handled.
o Act as the point of contact for coordinating meetings, conference calls, and video conferences across various time zones.
o Prepare agendas, take minutes during meetings, and ensure follow-up on action items.
- Project Management:
o Assist with key strategic initiatives and cross-functional projects, ensuring deadlines are met and deliverables are on track.
o Track project progress, report on milestones, and facilitate communication across teams to ensure alignment with executive priorities.
- Financial & Administrative Support:
o Maintain confidential financial and business documents, reports, and records.
o Help prepare materials for board meetings, investor relations, and other key presentations.
- Global Coordination:
o Liaise with global teams, managing time zones and cultural nuances to ensure seamless communication and collaboration.
o Coordinate travel, accommodations, and itineraries for international business trips, ensuring that all logistics are efficiently handled.
- General Administration:
o Handle daily administrative tasks, including office supplies, document management, and other ad-hoc responsibilities as needed.
o Support the broader executive team as needed and assist in the development and implementation of office policies and procedures.
