The Administrator plays a key role in managing the day-to-day operations of a residential or commercial property portfolio. They ensure smooth functioning, handle tenant relations, coordinate maintenance, manage administrative tasks, and assist in financial reporting. The Property Administrator works closely with the Property Manager to maintain high standards of property management and tenant satisfaction.
JOB TITLE: Administrator

SALARY: £25,000 - £27,000
Key Responsibilities:
*Serve as the primary point of contact for tenants, addressing inquiries, complaints, and service requests in a timely and professional manner.
*Coordinate move-ins and move-outs, including lease agreements, inspections, and property orientations.
*Handle tenant communications regarding building policies, maintenance, and community events.
*Maintain accurate lease records and ensure lease agreements are up to date.
*Assist in lease renewals and amendments, and ensure timely collection of rent and other tenant payments.
*Track lease expiration dates and coordinate renewals with the Property Manager.
*Schedule and oversee routine property maintenance and repairs, coordinating with contractors and vendors.
*Manage service contracts for cleaning, security, landscaping, and other property services.
*Conduct property inspections to ensure the premises are safe, clean, and compliant with regulations.
*Assist with rent collection, process invoices, and prepare financial reports for the Property Manager.
*Monitor and maintain records of property expenses, budgets, and financial statements.
*Reconcile tenant accounts and prepare month-end financial reports for management review.
*Ensure properties comply with local, state, and federal regulations.
*Maintain up-to-date property files, including insurance certificates, permits, warranties, and compliance documentation.
*Assist with audits and ensure all necessary records and documents are readily available.
*Provide exceptional customer service to tenants and visitors, ensuring positive relationships are maintained.
