Job Description:
Our client is a well established and regarded school based in Taunton. We are working with them to secure a Personal Assistant to the Headmaster (Term Time)
Hours of work Monday to Friday, 8am - 5pm (one hour for lunch) - Term time (33 weeks) plus three half term weeks, and one week at the start and at the end of each term (9 weeks) (42 weeks in total)
The appointed individual will provide a first class personal and professional support to the Headmaster in order to ensure the effective leadership of the school. You will have strong organisational and administrative skills, excellent written and spoken English, a high level of tact and discretion and an excellent telephone manner. You will be flexible and adaptable to change and used to working in a fast-paced environment. Ideally, you will have previous experience of working in a school.
Key responsibilities
*To act as Personal Assistant to the Headmaster and assist him in the smooth running of the school.
*Review, prioritise, direct, and delegate a wide range of complex and confidential requests for the Headmasters consideration.
*Efficiently organise and maintain the Headmasters calendar, scheduling internal and external meetings, events, and VIP visits, and ensuring the smooth coordination of schedules.
*Arrange logistics for meetings, interviews, and events, including venue booking, catering, visitor hospitality, and itinerary creation.
*Manage incoming mail, emails, and telephone calls, prioritising and flagging key items; respond to parents, pupils, and staff, and liaise with Council Members as required.
*Draft, proofread, and distribute documents, videos, letters, and reports in line with house style and within set deadlines.
*Take and distribute minutes for meetings as needed.
*Utilise iSAMS to manage and update pupil data, reports, and teacher schedules; maintain pupil records, leaver/joiner lists, and track school policies and complaints.
*Coordinate the Headmasters travel, both domestic and international, and process monthly expenses.
*Organise school, pupil, and private events for the Headmaster
*Attend school events, evening receptions, and demonstrate a team-oriented approach.
Person Specification
*Educated up to A-level (or equivalent) to include passes in GCSE English and Mathematics.
*Minimum of five years PA experience at Director/CEO level.
*Excellent secretarial and office management skills including fast accurate typing and note taking.
*Fully computer literate, awareness of internet security; proficient in use of Windows applications: Office 365, Microsoft Teams, Word, Excel, Outlook; OneDrive and SharePoint Customer service skills/problem solving/dealing with conflict
*Ability to multi-task and prioritise, planning own workload to fit around the needs of the Headmaster.
*Ability to work under pressure to a high standard.
*Good organisational skills and timekeeping.
*High degree of initiative and common sense in decision-making.
Occasional weekends and evenings e.g. Speech day, open days, exam result days and occasional key school events (term time) as required
Holiday 6.6 weeks annual leave (including bank holidays) to be taken outside of term time
Salary - up to GBP30000 (actual)
