Executive Assistant to Chief Librarian *Hourly Rate: £17.94 PAYE
*Location: Euston
*Job Type: Full-time 36 hours per week
*Start Date: January 2025
We are seeking an Executive Assistant to provide comprehensive, high-quality professional support to our Chief Librarian. This role is crucial in enabling the Chief Librarian to fulfil their responsibilities effectively, covering a wide range of administrative, secretarial, and research tasks.
Day-to-day of the role: *Organise and manage the day-to-day operations and office administration of the Chief Librarian’s office to ensure high-quality support.
*Manage a complex and challenging schedule, ensuring the Chief Librarian meets all deadlines and KPIs.
*Provide high-level administrative support, handling sensitive, confidential, and complex tasks.
*Coordinate diary management, prioritise appointments, and reschedule as necessary using your initiative based on the Chief Librarian’s priorities.
*Manage communications, including screening calls, prioritising emails, and handling correspondence and social media channels on behalf of the Chief Librarian.
*Act as a liaison with a wide range of staff and external contacts, using discretion to chase responses and provide information.
*Coordinate meetings, prepare agendas, take minutes, and maintain shared records.
*Manage travel arrangements and process travel and subsistence claims in adherence to Library policies.
*Undertake additional projects or research as required by the Chief Librarian.
Required Skills & Qualifications: *Proven experience in a similar role, ideally within public sector, arts/culture or library environment.
*Excellent oral and written communication skills, with the ability to handle sensitive information discreetly.
*Strong organisational skills, with the ability to prioritise work, meet deadlines, and manage a complex schedule.
*Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
*Ability to work collaboratively and flexibly, as well as independently with minimal supervision.
*Experience in managing budgets and financial processes is desirable.
