Job Description:
Are you looking for an administrative role within a fast-paced busy academic setting? Are you a proactive, flexible team player happy to work at a variety of administrative tasks? If so, Signature Recruitment is looking for a Departmental Administrator to work at a distinguished London university. This is a temporary, full-time role starting In January for two months. It is offered on a hybrid working model, with two days on campus, the balance at home and the team are typically on campus on Wednesdays.
In the role as Departmental Support Officer, you will deliver effective and efficient administrative services to the Heads of Group and their members in areas of finance, HR and operations. You will organise meeting room bookings, catering, travel arrangements, and support event planning as required. Your responsibilities will also include direct engagement with both students and staff, inbox management, and keeping abreast of the latest policies and procedures.
Departmental AdministratorKey Responsibilities:
*Offer comprehensive administrative support to the Head of Department in areas of finance, HR and operations
*Lead in the administrative aspects of recruitment. Ensure all relevant paperwork for shortlisting and interviews is completed, arrange interviews, presentations and associated logistics
*Act as the first point of contact for students and staff. Manage a busy shared inbox - answer queries and signpost as necessary
*Organise and coordinate room bookings, catering, and travel arrangements as required
*Stay up to date with university policies and procedures in order to provide the best possible service to students, staff, academics and other stakeholders
*Ad hoc administrative duties to help and support colleagues, senior member of the team and the wider university, in particular providing additional support for the Vice Deans of Education and Research
Departmental AdministratorKey Skills:
*Experience in HE administration with an understanding of the student lifecycle
*Good written and verbal communication skills with excellent customer service, a people-oriented approach
*Personable and proactive in managing administrative tasks working effectively within a busy team environment ensuring accuracy and attention to detail
*Highly proficient IT skills
