Job Description:

On behalf of this organisation, AMS are looking for a Float Executive Assistant for a 3-month contract based onsite in London.
Purpose of the Role:
To provide seamless administrative and secretarial support to senior executives including diary and inbox management. Working with limited direction. Employee at this level possesses all the skills required to operate independently on a full range of responsibilities.
As a Float Executive Assistant, you will be responsible for:
*Extensive inbox and diary management to allocated GBL Head and their Senior Managers
*Coordinating with other EAs internally, externally and worldwide, to understand management whereabouts and to always provide seamless cover
*Organising meetings including documentation preparation and invitations
*Arranging and attending weekly management meeting: agenda and distribution via email/SharePoint
*Managing and filtering all incoming calls
*Coordinating conference calls (internal and external) and appropriate meeting room bookings in accordance with internal systems
*Managing travel bookings including travel itineraries and visa requirements by following the bank policies and procedure
*Organising in coordination with the Marketing and Event Team seminars, conferences, gathering for your managers.
*Working with an extreme confidentiality manner
*Anticipating and understanding the needs of your managers
*Greeting clients
*General Services management
*Including but not limited to photocopying, filing and archiving, scanning, ordering magazines, stationery, payment of invoices, arranging couriers, business cards, managing DL etc.
*Other ad-hoc tasks requested by team members
What we require from the candidate:
*Experience of diary management and working in a fast-paced environment
*Capable of supporting several different high senior leaders
*Financial services experience desirable
*Providing seamless cover for other assistants during holidays and sickness absence
