Executive Assistant and Team Support
EC4 - London
£18-£20 per hour
Full-Time Temporary
Starting 6th Jan - approximately 4 months
Are you highly organised and have experience of providing admin support? We have a great opportunity for an Executive Assistant and Team Support to assist with proactive diary management, effective meeting support, management of any financial and other administrative support as required.
Essentials:
*Significant experience of successfully providing a high-quality EA service to senior executives in a busy and challenging environment
*Significant experience of providing broad administrative support to a busy and large team.
*Demonstrable experience of providing secretariat support to governance groups involving senior stakeholders
*Proficient in using Microsoft Office and SharePoint.
*Excellent interpersonal skills
*Creative in approach to problem solving
*Strong organisational, time management and multitasking skills
Key Responsibilities:
Executive assistant
*Provide comprehensive and proactive diary management to the AD and HE diaries, ensuring that good relationships are formed and maintained with key stakeholders.
*Organise travel arrangements, including booking hotels and preparing itineraries so the AD and HE arrive at their destination on time and fully prepared.
*Ensure accurate financial reporting against any expenditure in carrying out this function including credit card returns and expenses.
*Ensure effective organisation/co-ordination of meetings involving the AD and HE, for example, workshops, seminars, and external events; making certain they have all requisite briefing materials and presentations.
*Prepare presentations and meeting papers for the AD and HE to a high standard and carry out general administrative and secretarial work such as formatting documents and PowerPoint presentations.
*Support and work with other EAs and team assistants providing cover when required.
Team support
*Take responsibility for scheduling and supporting team meetings, socials and away days as required; ensuring meeting rooms / conference calls are booked, agendas are circulated, and minutes and actions are shared.
*Monitor and support all new starters processes including induction and the documentation that supports this for the team and ensure all documentation has been completed in a timely fashion.
*Offer comprehensive secretariat support to the clients Oversight Board and any other governance groups required: ensuring meeting rooms / conference calls are booked, agendas are circulated, and minutes and actions are shared.
*Provide flexible, comprehensive and responsive administrative support to the team including; processing invoices for payment, and contracts / other documents for signature, supporting events and meetings where needed, maintaining and updating team documentation (for example, on the intranet) and other administrative tasks as required.
