The Personal Assistant/Financial Planning Administration role is varied and interesting. You will be an integral member of our client relationship and services support team. Your principal responsibility is to provide a first-class administrative service for our clients and to your colleagues. You will ensure that our Chartered Financial Planners are well organised, informed, and prepared to perform their client servicing duties effectively, efficiently and on time.
We are looking for someone with a genuine interest in financial and investment matters, ideally with experience in a financial services role. Someone who will also have outstanding client communication skills - written, telephone, and face to face. The ability to work with IT accurately within Microsoft Office and similar Client Management Systems and other common business applications is essential. You should be a positive individual, high on initiative, enjoy a challenge, with a desire and experience of working in a small business.
We are an established and growing practice, and your proactive input will be integral to our ongoing success. Your administrative responsibilities will be varied, for example;
Ø Oversee daily office operations and ensure efficient workflow
Ø Preparing reports and presentations for client reviews
Ø Manage and maintain office supplies, equipment, and inventory
Ø Client correspondence, including mail, emails, and phone calls
Ø Coordinate and schedule appointments, meetings, and
Ø Maintain a clean and organised office environment
Ø Communicate professionally with clients, team members, and suppliers
Qualifications
ü Proficiency in common office business software applications
ü Strong administrative skills with attention to detail
ü Excellent phone etiquette and communication skills
ü Strong organisational skills with the ability to prioritise tasks
ü Experience in clerical duties such as data entry, electronic filing, and record keeping
