The role
The role is responsible for providing Business Support & Administration to the Head of Capacity and Ceded Reinsurance and the Ceded Reinsurance team ensuring adherence to global admin policies, procedures, and protocols. Responsible for supporting Office & Facilities management ensuring smooth running of the Office.
Key accountabilities
*Executive Support to the Head of Capacity and Ceded Reinsurance.
*Provide full diary management - organise internal and external meetings, ensuring effective administrative arrangements are in place to enable the meeting to run well.
*Ensure invitations and notes/ agendas for meetings are distributed in good time.
*Attend meetings and take minutes, as appropriate.
*Organise, plan, and manage team events.
*Liaise with clients and colleagues to effectively complete deliverables.
*Coordinate schedules, meetings and appointments.
*Arrange travel and book accommodation.
*Provide support to and cover for the PA/EA/ Admin team as required.
*Management and production of presentations as requested by the Head of Capacity and Ceded Reinsurance.
*Process monthly expenses for the Head of Capacity and Ceded Reinsurance.
*Assist with word processing, documentation, and database requirements.
*Answer and direct telephone calls.
*Produce timelines for and support any active projects.
*Act as the point of contact among executives, employees, clients, and other external partners.
*Support Company Secretary with board prep, events coordination and hosting including but not limited to materials preparation, scheduling, and administrative support.
*Execute various Administrative tasks related to Committees including meetings start.
*Set-up, minutes/actions documentation and publication, and actions follow-up.
*Assist assigned Committee with the selection and implementation of internal / external events.
Skills & experience
*At least 5 years of experience in an Executive Assistant role, preferably in the insurance or finance industry.
*Proactivity.
*Ability to see things through to completion, applying problem solving skills.
*Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously.
*Excellent communication and interpersonal skills with the ability to build relationships with stakeholders at all levels.
*High level of attention to detail and accuracy.
*Proficient in Microsoft Office Suite.
*Ability to work independently and as part of a team.
*Understand basic Health, Safety and Compliance in an office. Understands key risks related to role and understands place in adhering to the function and company’s risk control framework.
*Good judgement, including where escalation is appropriate.
